Whova App Instructions for Exhibitors

Houston BOMA's official Expo app, Whova, is a free and convenient way to connect with attendees, showcase your booth, collect leads, share prizes and giveaways, and more! We highly recommend all of our exhibitors download the app to maximize your booth's potential traffic and exposure.

Download the App and Set Up Your Exhibitor Profile

 

Download the Expo app, Whova, here. Only the primary booth contact  - the person who registered for a booth in Looking Cube - can manage the booth and set up an exhibitor profile. (If you have used the app in the past, you may have an account. Click the "Forgot Password?" link to get a verification code to reset your password.) If prompted to enter an event invitation code, enter houstonboma

To update your Exhibitor profile, follow these instructions:

 
  • In the app (Recommended): The primary contact for the Exhibitor Booth must log in to the app, find the Exhibitor Hub section, and click on the Exhibiting Booth Profile. From there, you can fully customize your profile by uploading a company photo or logo, editing your description, adding resources and links, and more. 
  • On a computer: Exhibitors should have received an email with a link to edit their profile. Open this link on a desktop to edit your booth info. If you did not receive a link, you can request one by emailing twikoff@houstonboma.org.
 

How to Add Additional Booth Staff in Whova

 
Only the primary booth contact can add additional staff to your booth in Whova, who will then be able to collect leads and manage the Exhibitor Booth Profile. To grant booth staff access to your booth in the Whova app, follow these instructions:
 
  • Step 1: Ensure all booth staff download the app and sign up for Whova. If prompted, they’ll use event code houstonboma. This step must be completed before the primary booth contact can add them to booth staff.
  • Step 2: The primary contact for the Exhibitor Booth will need to log in to their Whova app. Find the Exhibitor Hub section, and click on Manage Booth Staff. There you will see a list of all booth staff members. Click Invite Booth Staff at the bottom of the screen. Input the email that the staff member(s) used to sign up for Whova to add those folks to the booth. If the staff member has not signed up for Whova yet (step 1 above), you will get an error.
 

How Exhibitors Collect Leads

 
  • Collecting leads is easy and FREE with the Whova App! 
  • Find the Exhibitor Hub section and click on Collect Leads.
  • Click “Scan QR Code” to open the camera and scan attendees' QR code, located on their name badge or in their app, to save their information. You can also enter leads manually. 
 

Passport Contest 

 
  • Participating exhibitors can give out a stamp to attendees by scanning their QR code.
     
    • When an attendee visits your booth, have the attendee click Passport Contest in their app and their QR code will be displayed.
    • In your app, click “Collect Leads/Contacts” under Exhibitor Hub on the Home screen. Click the Scan QR code button.
    • Allow camera access and then scan the attendee’s QR code.
    • That’s it! The attendee will get a virtual stamp on the passport and you will get their contact information. (It may take a few minutes for their virtual stamp to show up in their app.)
  • Note: only exhibitor staff added to the booth will be able to scan QR codes. Use the instructions above under “How to Add Additional Booth Staff in Whova.”

How to Retrieve Your Leads

You can retrieve attendee contact information from the attendee QR codes you scanned on a list of leads you can export after the show. To retrieve your leads after the show, follow these instructions:

  • In the App (Recommended): Open Whova, and click “Collect Leads/Contacts” under Exhibitor Hub on the Home screen. Click “Export” in the top right corner. A pop-up will prompt you to send a lead export link to your email. Click Send. You will receive an email from support@whova.com with a link to download an Excel spreadsheet of your leads. (Please check your junk/spam folders if you do not receive it.) 
  • On a Computer: Sign-in to the web portal with the email you’ve been assigned as the primary contact. Find the Exhibitor tab under the Main navigation on the left-hand side. From there, you should see a list of all exhibitors from the event. Find your booth in the list and click Visit Booth. Once you’ve entered your booth, you should see an Exhibitor Hub section. Click the View Leads/Contact button, then click Export in the bottom right corner.


Please note that the lead booth contact will receive a list of all leads scanned by anyone working at the booth. All other booth staff will get a list of the leads that they each personally scanned.
